1. How do I know if I need to send a work order or not?
If you have anything at all that you need the technology department to take care of for you, it would be best to send in a work order. Anything and Everything! Please submit a work order if you have a quick question, need a quote, or anything else to which the Technology Department needs to tend. A work order ensures that we don't forget you and also gives us documentation of our work.
2. I'm not sure if my problem requires a work order or not; what do I do?
In this case, you need to send in a work order. If for some reason it doesn't need to be a work order, we can quickly delete it on our end. Although since you apparently needed us for something, we can't imagine why it wouldn't need a work order. Even if it is something personal and not work related. Be sure to put in a work order for that! The superintendent loves productivity reports and we like to show where we spend our time.
3. But but but...I'm a principal/counselor/teacher/minister/vice-president/relative of someone important/foreign diplomat/etc. do I still need to send you a work order, or do I get special treatment?
You still need to send in a work order. We give everyone special treatment! Especially people respecting the procedures we have in place and submit a work order like they have been asked!
4. If I see you in the hall should I stop you from helping the person you're here to help, and just tell you my issue in person?
No, don't stop us; send in a work order. To be honest, if it wasn't for someone following the rules and sending in a work order, chances are you wouldn't see us in the hall to begin with. Please do not be rude and take away our time from helping someone that actually did what they were supposed to do in submitting their work order. We certainly don't mind listening to you tell us your problem, but usually, this takes longer than if you had just sent in a work order in the first place. Plus, without a work order, we can't guarantee that we will remember to take care of your needs after completing whatever we initially worked on.
5. But but but...I just have a "quick question," do I still need to send in a work order?
Yes, you need to send in a work order. There is even a category on the work order form for "quick questions"! It is one of the most popular categories. Plus, if it really is that quick, it will only take you a second to submit it through the work order system, right?
6. If I send in a work order, do I still need to grab you and tell everything the work order says?
No, you don't need to do that. We will be able to understand everything you put in the work order, provided you can put your issue into coherent words. We know words are hard, but we are adept at speaking and understanding them, particularly when written. Please be as descriptive as possible when you submit your work order. "My computer doesn't work" or "it won't let me" does not give us any helpful clues. Use descriptive words and note any error messages, lights, beeps, or other things that may help us help you with your issue. And remember, if you can't put your problem into words, do you really want to stop us and have us watch you groan, grunt, and struggle to communicate?
7. If I send in a work order, do I need to email or text you and tell you?
No. Using the work order website will send SEVERAL emails. It sends you an email confirming your work order submission and sends everyone in the technology department an email saying a new work order was received. Isn't that awesome? However, you need to read all emails FROM the work order system. The work order system sends our replies and updates you on our work.
8. If I see you at my school, do I need to tell you, "I was going to send in a work order, but I didn't…?"
No, you do not need to tell us that; instead, you need to go put in the actual work order.
9. What if I need a quote or price on something? What do I do then?
Yes, believe it or not, we even have a category on the work order system for quotes! When you send your quote request through the work order system, we will attach your quote to your work order allowing you to return to your work order in the future and get your quote again should you need the same item.
10. I need a website unblocked. Do I need to send you a work order for that too?
Yes, you do. Unblocking websites (or blocking them) falls under the umbrella of "anything" listed in answer #1 above. Plus, submitting a work order gives us a record of who asked to unblock which website. Determining who requested a website be unblocked is essential. When the Superintendent comes to me asking why Netflix, Amazon Prime Videos, Streaming radio stations, and personal shopping websites are not being blocked, I will know what to tell him.
